SUBJECT: RECEIVE CLARIFICATION ON FUNDING FOR THE ENTERPRISE
RESOURCE PLANNING (ERP) SUPPORT CONTRACT WITH EMTEC
CONSULTING SERVICES LLC APPROVED AT MARCH 17, 2022 BOARD
MEETING
At the March 17, 2022 Board Meeting, the Board approved Item 3 to increase the payment limit on an
existing contract with Emtec by$350,000 to the total of $750,000, with the issue noted as:
"Authorize the General Manager to increase an existing support services contract with Emtec
Consulting Services LLC in an amount not to exceed$350,000, increasing the cost ceiling to
$750,000 for ongoing system support of the Enterprise Resource Planning Replacement, District
Project 8250"
To clarify, there is a single Emtec contract that covers both Operations and Maintenance (O&M) and capital
services. This Emtec contract, as amended, has provided for both the implementation of the Oracle ERP
system (charged to capital), as well as ongoing support services ("ClearCare", charged to the O&M
budget). The March 17, 2022 Board action only increased the funding for the support services (O&M portion)
of this single contract with Emtec. There was no increase to the limit of the implementation funding for the
project DP8250, which remains at $2,715,000.
