BAILEY, GENERAL MANAGER JEAN -MARC PETIT, DIRECTOR OF ENGINEERING AND TECHNICAL SERVICES'r,p DANEA GEMMELL, PLANNING AND DEVELOPMENT DIVISION MANAGER DANA LAWSON, SENIOR ENGINEER 0a— MOBILE DEPLOYMENT FOR CSOD STAFF The new computerized maintenance management system (CMMS), Cityworks, went live on September 27, 2016 for the Collection System Operations Division (CSOD), which includes fleet and recycled water distribution. The Asset Management/GIS Group, with support from IT, worked with CSOD staff to pilot tablets in the field during the months of October and November. The pilot included two crew leaders, three fleet mechanics, four supervisors, and one superintendent. Additional tablets were procured and configured by IT in mid-November, which was followed by basic tablet training by IT staff and Cityworks training by GIS staff. Beginning December 1st, all CSOD field staff will use mobile devices. This enables field crews to access desktop information such as maps, work order history, CCTV results and to complete work orders in real-time, so that office support can see the results as they are recorded. Additionally, field staff can take pictures with the tablets and attach them to service requests or work orders. While difficult to quantify as a cost savings, these benefits are significant to CSOD and will be helpful to Engineers to evaluate renovation projects. Cityworks was configured with pick -lists to ease data entry, customized fields were added to capture all necessary data in one system, and to produce reports customized to meet the Division's needs. Combined with the mobile deployment, this new system will reduce paperwork and manual data entry and is estimated to save almost one full- time employee of clerical support per year. This staff time can instead be redirected to cleaning pipes, proactive maintenance activities, and higher level data analysis to improve the overall preventive maintenance program by CSOD.
