ISSUE: Specific approval by the Board of Directors is required for travel that is out of
state.
RECOMMENDATION: Approve the attendance of Tina Miller, Administrative Services
Supervisor, at the April 24 -25, 2012 American Records Management Association
(ARMA) Conference in Houston, Texas.
FINANCIAL IMPACTS: The total approximate cost will be approximately $1,800. The
conference was budgeted and there are sufficient funds in the Administration
Department Technical Training, Conferences and Meetings account to cover the cost of
the conference.
ALTERNATIVES /CONSIDERATIONS: The Board could deny the request to attend the
conference.
BACKGROUND: Tina Miller was hired in May 28, 2010 as Administrative Services
Supervisor in the Administration Department, with a specific focus on District Records
Management.
Since that time, Tina has developed and is implementing an overhaul of District
records, including their identification and tracking, and appropriate destruction. She
has worked with both District Departments and Information Technology to consolidate
software and to better sort and organize Department records. This ensures appropriate
destruction of records in compliance with State laws, and facilitates the identification
and retrieval of records, thereby reducing the District's exposure. There are few
opportunities to attend conferences that specifically related to Records Management,
and ARMA is the leading organization that provide such training and information to
governmental agencies. The conference will include such topics as addressing
electronic records and autoclassification, and latest software programs.
